Personal project

A CRM that tracks the next step on its own.

A form enquiry reaches the CRM with full context, gets an owner and a contact deadline. When the deadline passes without action, the system reminds you. Nothing gets lost between browser tabs.

The problem it solves

Leads are lost not because they are bad but because nobody went back to them. The enquiry arrives by email, somebody skims it, promises to reply in the afternoon and forgets. Three days later the customer bought elsewhere.

How it works

  1. 1A form enquiry lands in the CRM as a record with full context, not a loose email
  2. 2The system sets an initial priority from what the customer wrote and the budget given
  3. 3A task is created automatically with a deadline and an assigned person
  4. 4If the deadline passes with no action, a reminder goes out, then an escalation
  5. 5After contact the system asks for the outcome and schedules the next step

Flow: form, CRM record, priority assigned, task with deadline, reminder and escalation.

What I would refine for a client

At a client I would connect this to their mailbox so that a manually sent reply closed the task automatically. Right now it needs a click in the CRM, and anything needing an extra click eventually stops being done.

Do you have a similar process?

Describe it in a few sentences. I will tell you whether it can be automated and what it would cost — including when the answer is that it is not worth it.
